Terms of Service

These terms govern your use of Coaching OS AI. By booking a demo, creating an account, or using the platform, you agree to them.
The service
Coaching OS AI is a platform that helps coaches, consultants, and agencies automate lead qualification, sales, booking, onboarding, and client support through a set of automation modules you enable per workspace.
Accounts
You're responsible for the accuracy of the information you provide and for keeping your account credentials secure. You're responsible for activity that happens under your workspace, including content sent to your leads and clients through enabled automations.
Billing
Paid plans are billed on the cycle you select at signup. You can cancel at any time; access continues through the end of the current billing period. We don't offer retroactive refunds except where required by law.
Subscription cancellation
You may cancel your subscription at any time. Your account remains active through the end of the billing period you've already paid for; we don't prorate or refund the unused portion of a period. After cancellation, your workspace data is retained for a limited period consistent with our Privacy Policy before deletion.
Canceling your subscription doesn't entitle you to a refund of any implementation fee already charged, in whole or in part, regardless of how much of the implementation scope was completed at the time of cancellation.
Implementation fee
Certain plans require a one-time implementation fee, billed separately from your recurring subscription and negotiated individually rather than drawn from a fixed price list. This fee covers the work of setting your workspace up for use, which may include configuring automations and workflows; migrating or importing existing data, contacts, notes, and tasks; connecting and configuring third-party integrations; training and configuring AI assistant behavior for your business; and building staff task and permission structures.
The implementation fee is due regardless of the subscription plan, discount, or trial period applied to your account, and is not waived or reduced by a complimentary subscription period or promotional credit.
Refund policy
Implementation and setup fees are non-refundable once that work has begun. Work is considered begun at the first configuration action taken on your workspace after payment, not the completion of the full agreed scope.
Third-party integrations and approvals
Certain services, automations, integrations, messaging capabilities, and permissions depend on third-party providers, including but not limited to Meta (Facebook and Instagram), Google, Stripe, Zoom, and email or SMS providers. Any delay, restriction, rejection, review period, policy change, account limitation, or permission requirement imposed by a third-party provider is outside our control.
Such delays may affect activation timelines or the availability of specific features. A third-party delay isn't a failure of our implementation work, and doesn't, on its own, entitle you to a refund of implementation fees or a credit against your subscription.
Your responsibilities during implementation
To complete implementation, we may need information, access, assets, or approvals from you - for example, brand assets, account access for integrations, or answers needed to configure your AI assistant. Delays in providing these may delay your go-live date; they don't extend your subscription billing or entitle you to a refund.
You're responsible for reviewing, testing, and approving your configured workspace within a reasonable time after we notify you it's ready - we treat 14 days without a reported issue as acceptance of the delivered setup. Implementation work is scoped at the time of purchase; requests to add automations, integrations, data sources, or configuration beyond that scope after work has started may be billed as additional implementation work, quoted separately before it begins.
You're responsible for your own compliance with the rules of any platform you connect (including Meta's platform policies), applicable messaging and privacy law (including consent requirements for SMS and email), and how you use the AI features we provide. We don't guarantee specific business outcomes - lead volume, booking rate, revenue, or client retention - from any automation, AI configuration, or workflow we implement.
AI automation
AI-generated responses, automations, and assistants are configured for your business but may produce inaccurate, incomplete, or unexpected output. You're responsible for testing and monitoring AI behavior in your workspace, particularly during and immediately after implementation.
Certain conversations are flagged for manual review and handed off to a human rather than answered automatically. This is a safety measure, not a guarantee that every sensitive topic will be caught - you remain responsible for monitoring conversations involving your clients.
Acceptable use
You agree not to use the platform to send spam, harass leads or clients, violate applicable communications laws (including opt-in/opt-out requirements for SMS, WhatsApp, and email), or misrepresent who's communicating with your leads and clients.
Your data
You own the data you and your leads/clients put into the platform. We process it on your behalf to provide the service, as described in our Privacy Policy.
Termination
You can close your account at any time. We may suspend or terminate accounts that violate these terms, with notice where practical.
Disclaimer & liability
The platform is provided "as is" without warranties of any kind. To the maximum extent permitted by law, Coaching OS AI isn't liable for indirect, incidental, or consequential damages arising from your use of the service.
Changes
We may update these terms as the product evolves. We'll update the date above when we do, and for material changes we'll make a reasonable effort to notify active accounts.
